This includes:<\/p>\n<ul>\n<li>handling registrations and keeping a list of participants<\/li>\n<li>arranging meals, transport and the programme<\/li>\n<li>communicating with participants before, during and after the event<\/li>\n<li>handling participation fees<\/li>\n<\/ul>\n<h2>Legal basis<\/h2>\n<ul>\n<li>Registration and event arrangements: the processing is necessary to arrange the participation you have registered for (GDPR Article 6(1)(b)).<\/li>\n<li>Information about diet, allergies and special needs may reveal information about your health. We process it only with your explicit consent (Article 9(2)(a)), which you give in the registration form.<\/li>\n<li>Participant list and photos: your consent (Article 6(1)(a)). These permissions are optional.<\/li>\n<li>Accounting records of participation fees: our legal obligation under the Finnish Accounting Act (Article 6(1)(c)).<\/li>\n<\/ul>\n<h2>What data we process<\/h2>\n<ul>\n<li>name, postal address, email address and mobile phone number<\/li>\n<li>rose society membership, participation option (full programme or lecture day) and names of travelling companions<\/li>\n<li>arrival and departure dates and times, travel details and transport needs<\/li>\n<li>dietary requirements, allergies, accessibility and other special needs<\/li>\n<li>other information you give us in the form or by email<\/li>\n<li>your choices regarding the participant list and photos<\/li>\n<\/ul>\n<h2>Where the data comes from<\/h2>\n<p>From you, through the registration form or by email. The names of travelling companions may also be given by another participant.<\/p>\n<h2>Who receives the data<\/h2>\n<p>We share only the information that is needed for each purpose:<\/p>\n<ul>\n<li>Hotel Haikko: names, dietary requirements, allergies, special needs, and arrival and departure times, for meals and other arrangements at the venue<\/li>\n<li>transport companies: names, mobile phone numbers and travel details, for organised transport<\/li>\n<li>hosts of visits in the programme: the number of participants and, when needed, names and special needs<\/li>\n<li>other participants and the Nordic rose societies: a participant list with names and countries, only of participants who have given permission<\/li>\n<\/ul>\n<p>Our website and email service provider processes the data on our behalf. We do not sell personal data or use it for marketing.<\/p>\n<h2>Transfers outside the EU\/EEA<\/h2>\n<p>We do not transfer personal data outside the European Union or the European Economic Area.<\/p>\n<h2>How long we keep the data<\/h2>\n<ul>\n<li>Information about diet, allergies and special needs is deleted within one month after the event.<\/li>\n<li>Other registration data is deleted within three months after the event.<\/li>\n<li>Accounting records are kept as required by the Finnish Accounting Act (1336\/1997).<\/li>\n<li>If you have given permission to publish photos, photos that have already been published in magazines or online may remain in those publications.<\/li>\n<\/ul>\n<h2>How the data is protected<\/h2>\n<p>The registration form sends the information by email to the organisers&#8217; mailbox. The form data is not stored in the website&#8217;s database. Only the people organising the event have access to the mailbox and participant lists, and access is protected with passwords. The website uses an encrypted connection (HTTPS).<\/p>\n<h2>Your rights<\/h2>\n<p>You have the right to:<\/p>\n<ul>\n<li>access your personal data<\/li>\n<li>have inaccurate data corrected<\/li>\n<li>have your data erased or its processing restricted, as provided in the GDPR<\/li>\n<li>receive the data you have given us in a machine-readable format (data portability)<\/li>\n<li>withdraw your consent at any time. Withdrawal does not affect processing carried out before it. You can also contact the supervisory authority in the country where you live or work.<\/p>\n<h2>Do you have to give the data?<\/h2>\n<p>Your name, contact details and travel information are needed for registration.
